Leasing
In order to generate adequate revenue and ensure space optimization, we shall ensure all vacant space
within the facility are rented out to third parties as set out by the objectives for the building. Our
professional leasing team;
· Keeps an accurate record of number and availability of vacant units within the facility.
· Accompanies all viewings with potential tenants.
· Initiates a complete post-viewing follow-up
· Advises on all offers in writing, providing a profile of the client
· Completes regular reviews of viewing number and leasing rates and provide updated market advice and
recommendations at regular intervals
· Collects all payments, prepares and arranges for the clients to sign all Contracts whilst collecting
all the paperwork necessary under leasing requirements on behalf of Ghana Standards Authority.
· Prepares a Condition Report to ascertain any outstanding maintenance or cleaning requirements prior to
occupation.
Property Maintenance
Preventive maintenance: We have a maintenance strategy for each equipment. We will
replace parts and overhaul all equipment based on a schedule regardless of the condition of the asset.
We ensure that we meet all scheduled maintenance works for each physical asset including Generators,
Elevators, Fire alarm systems, Electrical Systems etc.
Corrective Maintenance: this type of maintenance would be performed to identify,
isolate, and rectify a fault so that the failed equipment, machine, or asset can be restored to an
operational condition within the tolerances or limits established for in-service operations. Included in
it are, minor civil, carpentry and plumbing works.
Ground Maintenance
This includes all the exterior elements of the building including pavements, garden, irrigation
equipment, curbs & gutters, security fences, gates, wells, water storage, Signages etc. We will ensure
we successfully maintain the grounds to provide;
· Safe and smooth pedestrian paths and vehicle pavement
· Well drained sites free of standing water
· Integrated Pest Management
· Adequate Irrigation
· Well-kept Gardens for ambience etc.
Fire Fighting,Health and Safety Management
It’s our priority to maintain a safe environment. Most accidents and incidents within a facility are as
a result of unsafe acts. As facility managers we actively assess risks and strive to mitigate them. Our
duties involve accident prevention, fire inspection, prevention of health hazards, prevention of
chemical hazards, equipment safety, use of personal protective equipment e.g. eye wear, ear protection,
fire resistant clothing etc.
We ensure compliance to health and safety regulations and promote the culture of safety that supports
the objective for which the facility was built, improves productivity and reduces injuries.
Waste Management
For effective implementation, we develop the capabilities and support mechanisms necessary to achieve
the safety and health policy, objectives and targets. All staff are motivated and empowered to work
safely and to protect their long-term health, not simply to avoid accidents.
Energy Management & Environmental Sustainability
We ensure the creation and use of the built environment does not harm the natural environment. Our
policies ensure that we;
1. Reduce the consumption of energy through energy saving practices and systems.
2. Reduce waste production by employing more efficient processes including recycling programs.
3. Preserve water through water management programs.
Security
As facilities managers we will operate a facility prepared for threats that include the potential
thefts, natural disasters, terrorism, medical emergencies, elevator incidences etc.
Marketing
In order to attract clients quickly, we will advertise vacancies within the property throughout our vast
marketing network. This network includes the Listening Bureau website, social media marketing, Google
Advertisement and other strategically targeted email campaigns, and location signage.
Administration and
Dispute Resolution
In order to manage your facility, an experienced Facility manager would be assigned.
The Facility manager will handle all complaints being submitted by clients; such complaints may be
maintenance related or regarding incidents within the property. All complaints, requests and incidents
are followed up and resolved quickly to maintain good client relations.
Handover and Inspection
Listening Bureau arranges formal handover from developer to Property Owner, including all necessary
paperwork to make the transition efficient. During this process, the property will be critically
inspected (known as “snagging”) to ensure the developer has adequately completed contractual
requirements for the handover.
Rent/Revenue Collection Lease Management
Listening Bureau maintains a register of the commencement and expiry details of all occupants on our
professional computerized management system and shall collect all revenues on behalf of the client.

Reporting and Financial Management
We provide a full set of accounts summarizing all financial transactions on the property including all
receipts and payments, cash reconciliation, funds supplied for management, direct payments,
disbursements, direct banking, commission schedules and arrears. We will submit expense reports and
revenue reports along with continual monitoring of the property management market.

Legal Guidance
We have good relations and liaise with the government bodies on a regular basis including the Rent
Control, Municipality, Fire Service, Electricity Company of Ghana with all matters regarding the
operations of the building to ensure you are fully protected as a Property Owner.

Supply)
Cleaning Services
Listening Bureau deals with the collection of all revenue. Cheques and transfers and deposit them to an
account which would be provided by the client. If a cheque is returned, the matter will be promptly
followed up with the issuer and authorities where necessary.
Property Insurance
We obtain professional advice from our insurance brokers, ensuring a full understanding of the
contractual aspects of the insurance proposal and enabling us to obtain the best rates in the market for
the most comprehensive contracts.
Vending Services
On site staffing
On site staffing: Our dedicated staff shall be assigned to the following roles: Facility Manager,
Electricians, Plumbers, Handyman, etc.
Soft Services
: these are a range of services required to effectively and efficiently run the day-to-day activities of
your facility. For instance, Space management service, cleaning services, Landscaping, refuse
collection, washroom consumables etc.
